The Assistant Vice President of Administration is not an elected officer of the Chapter reports into the VP of Operations. This position provides administrative support to the chapter. He/She/They records meeting minutes, manages chapter correspondence, and ensures communication and archival of chapter proceedings and records.

Foundational CARE Requirements

        Oversees the yearly CARE reporting requirement and functions as the main point of contact for national ATD on all CARE-related communications

Responsibilities:

        Distribute prior meeting minutes and project status reports prior to each board meeting

        Ensure that accurate minutes are taken and maintained as legal record of the chapter’s board meetings

o   Record accurate minutes at Executive Board meetings

o   Prepare and disseminate minutes within 10 days to board members and designated committee chairs.

        Ensure transmittal of all Executive Board communications to the Board and to others as directed

         Update and maintain the Chapter’s Organization Chart and the Directory of Board Members

        Maintain Chapter Procedures Manual

        Ensure chapter email accounts are being read by the responsible board members and this position is responsible for the Admin account

        Coordinate any requirements involving the chapter’s bylaws and/or articles of incorporation

        Ensure the safekeeping and proper archival of all legal documents

        Serve as a clearinghouse of current and historical chapter information

        Assist other board and council members in maintaining chapter records 

Time required: 4 to 6 hours per month
