Volunteer Opportunities

Role Summary

The VP of Communications ensures timely, consistent, and effective communication to both internal and external audiences. This role manages the chapter’s communication channels, editorial content, and messaging strategy to strengthen member engagement and community presence.

Key Responsibilities

  • Communication Strategy & Planning
    • Develop and execute the chapter’s communication plan for programs, membership, SIGs, and chapter initiatives.
    • Partner with the VP of Marketing to ensure cohesive messaging across all platforms.
  • Email & Content Management
    • Oversee the delivery of all chapter emails, including newsletters, event announcements, membership updates, and special communications.
    • Create and maintain a clear editorial calendar for the chapter.
  • Newsletter Oversight
    • Lead the creation and distribution of the quarterly chapter newsletter.
    • Collect content from Board members, SIG leads, sponsors, and volunteers.
  • Website & Messaging
    • Oversee updates to the chapter website (program pages, board information, resources).
    • Ensure that all communications align with ATD standards and chapter goals.
  • Member & Audience Engagement
    • Manage communication to members and non-members with clarity, accuracy, and consistency.
    • Maintain distribution lists, templates, and communication processes.
  • Collaboration & Leadership
    • Work closely with the VP of Marketing, President, VP of Membership, VP of Programs, and SIG leaders.
    • Support volunteer communications coordinators as needed.

Expected Time Commitment

  • Approximately 4–6 hours per month.
  • Attendance at monthly Board meetings, chapter events as needed, and quarterly planning sessions.

Ideal Qualifications

  • Comfortable with email marketing platforms, website updates, and content management.

Responsible for driving member engagement and increasing retention, through activities that connect Corporate and individual members to the Chapter value proposition, highlight member achievements and expertise, foster networking, and support active use of member benefits.

Foundational CARE Requirements

      Ensures that the Chapter submits year-end membership roster to ATD

      Ensures that the Chapter board assesses member needs and satisfaction levels at least once per year

      Supports Chapter efforts to achieve a minimum of 20 Power Members (joint chapter/ATD national members) and 35 percent simultaneously.

      Ensures that Chapter completes 10 Power Member activities of the Chapter’s choosing.

Responsibilities

      Develops and executes membership strategy to include orientation of new members, ongoing member outreach, and promotion of value proposition to current members.

      Tracks membership data and metrics, including monthly membership reporting and annual reporting for CARE.

      Develops and executes a strategy to engage corporate learning leaders in Chapter activities, to develop corporate membership opportunities.

      Collaborates with VP of Programs as needed to deliver specialized programming, as needed.

      Collaborates with VP of Marketing to develop and execute marketing campaign targeting new members.

      Collaborates with VP of Programs and VP of Marketing and Communication to support member engagement and delivery of Chapter value proposition.

      Collaborates with VP of Marketing and Communications to leverage ATD resources promoting membership and Power Membership, including annual sales and other special promotions.

      Resolves membership inquiries from individual and corporate members and provides general customer service as needed.

      Leads Membership volunteers, providing direction for collaboration and execution of critical activities including:

      Developing and delivering new member orientation or ensuring new member welcome correspondence.

      Maintaining templates for routine member correspondence, such as automatic renewal notices

      Delivering an annual member survey

      Maintaining membership levels, including descriptions, pricing, and other settings in Wild Apricot

      Outreach to members, including interviews for the Chapter newsletter or social media campaigns, acknowledgement of CPTD, APTD and other achievements, identifying potential program speakers or volunteers, and following up with lapsed members.

Expected Time Commitment

  • Approximately 4–6 hours per month.
  • Attendance at monthly Board meetings, chapter events as needed, and quarterly planning sessions.

AVP, Finance

Position Summary

Assist the VP, Finance in managing the operational finances for the Chapter including tracking, organizing and analyzing the Chapter monies (the Chapter’s checking account, the Chapter’s savings account, and the Chapter’s Certificate of Deposit).

Qualifications

  • Technology-proficient
  • Excel experience required
  • Some financial experience preferred (bookkeeping, accounting or finance)

Responsibilities

  • Input monthly expenses into Excel spreadsheet and coordinate filing of check requests and expense receipts
  • Help prepare the P & L and Income statements using Excel to provide regular reports on the Chapter’s financial condition at Board Meetings and Retreats
  • Organize yearly paperwork of expenses and income to submit to the external auditor.
  • Assist in preparing the yearly budget
  • Submit annual Income Statement, Balance Sheet and next year’s budget for CARE

Time Commitment:  1 – 3 hours a month

AVP, Sponsorships

Position Summary

We are seeking a dynamic and relationship-focused volunteer to serve as Associate Vice President of Sponsorships. This leadership role reports to the Vice President of Marketing & Communications.  Sponsorships are an essential strategy for financial sustainability and growth of our chapter. This is a new position where the AVP will oversee a sponsorship program with the potential to generate $5,000+ in annual revenue while building meaningful partnerships with organizations that support talent development.

Qualifications:

  • Experience in sales, business development, relationship management, or partnership roles

  • Detail-oriented with excellent organizational skills
  • Commitment to volunteer 5-8 hours per month consistently

Responsibilities

Sponsorship Development & Management:

  • Identify, prospect, and cultivate relationships with potential corporate sponsors
  • Manage our multi-tiered sponsorship program.
  • Maintain relationships with current sponsors and ensure renewal of annual partnerships
  • Coordinate fulfillment of all sponsor benefits and recognition requirements

Administrative Duties:

  • Maintain sponsor database and contact information
  • Prepare sponsorship agreements and invoicing coordination
  • Generate reports on sponsorship activities and revenue
  • Support budget planning with sponsorship revenue projections

Position Summary:

The Assistant Vice President of Communications is not an elected officer of the Chapter and reports into the VP of Marketing & Communications. This position oversees the chapter’s communications activities to Chapter members, the community and other professional associations. Communication with external parties may involve the AVP of Marketing.

Communications includes written communication vehicles for the chapter on a regular yearly schedule in order to share information on current learning and performance practices and concerns, provide members with a forum for exchange of ideas on controversial issues and keep members informed about chapter membership, meetings and conferences, as well as activities sponsored by ATD National and other professional training and human resource groups.

Foundational CARE Requirements

        Ensure that the chapter adheres to ATD branding guidelines

        Ensure that the chapter disseminates a communication piece to members at least once per quarter that includes chapter and national programs and initiatives

 

Responsibilities:

        Achieve goals for maintaining and improving internal Chapter communications

        Creation and maintenance of communication templates in WildApricot

        Leverage various channels of communication (Website, emails, social media, etc) to ensure coverage

        Coordinate communication activities with Membership, Programs & Events, and other Chapter officers

        Provide editing services for all communications

        Create interviews or videos at chapter meetings and post to website

        Produce quarterly Chapter newsletter (see CARE Requirements above).  Responsibilities include such tasks as solicitation of general-interest articles, letters from the President, articles promoting Chapter and National activities, reviews of previous meetings, membership updates, etc.

        Plan and obtain content, edit announcements, and proof all announcements prior to publication

Time Commitment:  4 to 6 hours per month

The Assistant Vice President of Administration is not an elected officer of the Chapter reports into the VP of Operations. This position provides administrative support to the chapter. He/She/They records meeting minutes, manages chapter correspondence, and ensures communication and archival of chapter proceedings and records.

Foundational CARE Requirements

        Oversees the yearly CARE reporting requirement and functions as the main point of contact for national ATD on all CARE-related communications

Responsibilities:

        Distribute prior meeting minutes and project status reports prior to each board meeting

        Ensure that accurate minutes are taken and maintained as legal record of the chapter’s board meetings

o   Record accurate minutes at Executive Board meetings

o   Prepare and disseminate minutes within 10 days to board members and designated committee chairs.

        Ensure transmittal of all Executive Board communications to the Board and to others as directed

         Update and maintain the Chapter’s Organization Chart and the Directory of Board Members

        Maintain Chapter Procedures Manual

        Ensure chapter email accounts are being read by the responsible board members and this position is responsible for the Admin account

        Coordinate any requirements involving the chapter’s bylaws and/or articles of incorporation

        Ensure the safekeeping and proper archival of all legal documents

        Serve as a clearinghouse of current and historical chapter information

        Assist other board and council members in maintaining chapter records 

Time required: 4 to 6 hours per month

 

AVP, Technology

Position Summary

This position is responsible for identifying, implementing and maintaining the website and other technologies that will support board goals and improve member services. The Associate Vice President, Technology reports into the VP, Operations. 

Qualifications

  • Experience in Website, SharePoint or database administration
  • Strong skills in dealing with end users and troubleshooting issues
  • Some graphic design experience or skills would be helpful but not required
  • Highly organized
  • Ability to meet deadlines
  • Good written and verbal communication skills
  • Good skills in collaborating with other Board Members, (VPs), AVPs, volunteers and members across various disciplines

Responsibilities

  • Manage the chapter website (Wild Apricot/StarChapter) and web hosting or another platform
  • Manage access to Wild Apricot/StarChapter and Google Drive for board members and volunteers, provisioning access for new members and revoking access for those that have left the chapter
  • Provide support to members in accessing and navigating the website
  • Technical problems troubleshooting
  • Collaborate with board VPs and AVPs, event leaders, and committee heads to develop and post website content
  • Monitor monthly web usage, provide monthly report to VP Operations
  • Monitor the number of contacts to ensure we don’t exceed the current plan maximum
  • Work with AVP of Membership to archive non-active and/or out-of-date contacts
  • Backup & Archive Files - (each January)
  • Manage website and hosting fee payments

Time Commitment:  2 – 4 hours per month

The Assistant Vice President (AVP), Leadership & Talent, supports the Vice President of Leadership & Talent in developing strong chapter leadership, building a healthy volunteer pipeline, and ensuring the effective coordination of volunteer engagement activities. This role is ideal for a chapter member seeking to grow in a leadership capacity and strengthen chapter operations through talent development best practices.

The AVP works closely with the VP, Leadership & Talent, Board members, and volunteer teams to help maintain a thriving volunteer experience that aligns with NNJ ATD’s mission and the ATD Chapter Affiliation Requirements (CARE).

Key Responsibilities

Support for CARE Requirements

  • Assist in maintaining up-to-date written role descriptions for board and volunteer positions.
  • Support updates to the chapter’s board roster and communications with ATD Chapter Services regarding board changes.

Board Support

  • Contribute to the preparation of materials for Board slate announcements, membership votes, and new leader orientation.

Volunteer Engagement & Recruitment

  • Assist in recruiting, screening, and matching volunteers to specific opportunities across the chapter.
  • Maintain and update volunteer interest lists, volunteer needs, and matching records.
  • Conduct initial volunteer outreach conversations and ensure volunteers complete intake information (interests, skills, availability).
  • Help maintain the volunteer database/spreadsheet with accurate demographic and engagement information.
  • Support the development of an end‑to‑end volunteer experience—from attraction to onboarding to active engagement.

Time Commitment

  • Approximately 4- 6 hours per month, including monthly committee meetings.

Program Manager

Position Summary

The Program Manager organizes a program/event, managing the resources and tasks.

Qualifications

  • Solid event planning skills
  • Aptitude for using the Chapter’s website to enter program data and export data for reporting

Responsibilities

  • Solicit program topics from membership and evaluate relevance and interest to members
  • Evaluate each meeting to ensure quality and professional relevance
  • Collect and report on participant feedback of programs and use feedback to plan future events
  • Monitor income and expenses from programs to ensure that financial objectives are achieved
  • Assist with presenting relevant program/events on a regular basis (several per quarter)
  • Tie topics to the National ATD Competency Model and Chapter Goals.

Time Commitment:  

  • Attending programs committee meetings: .5 hour weekly
  • Programs planning time 1-2 hours weekly
  • Attend the meeting you are planning

Position Description and Responsibilities

o   Post event announcements and other important chapter communication messages to social media accounts.

o   Monitor chapter LinkedIn Group and answer or identify and prompt chapter leaders to respond to posted questions.

o   Conduct marketing campaigns with chapter X/twitter account.

o   Establish the chapter Facebook and Instagram accounts.

Experience/Capabilities Needed

o   Expert navigating and managing technology and key social media platforms.

o   Contribute regularly to one or more social media platforms.

o   Collect and report Social media metrics to the Board, and any photo/video editing skills would be a plus.

Responsibilities

·       Attend Executive Board meetings when appropriate to solicit and select deserving nominees for each award category.

·       Obtain award plaques or certificates for presentation at award ceremonies.

·       Coordinate awards ceremonies at chapter meetings.

·       Provide the webmaster with information on awards recipients for website posting..

·       Publicize awards through chapter communications.

Workflow

The major awards are presented in December of each year.  Prior to these presentations, nominees must be put forward, winners selected, and vendors contacted to create the plaques or certificates.

Certificates are also awarded in December to whomever the board selects.  Frames must be purchased for certificates and once assembled, they should be wrapped and labeled..

The presentation of the awards must also be coordinated with the Program Chair responsible for the meeting during which the awards will be presented.

Time Commitment  

Typically time is intensive about 5 hours a month for October through December.
